1. Acceptance of Terms

By creating an account, accessing, or using this application (the Platform), you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, including the Privacy Policy and Confidentiality Obligations described herein.

If you do not agree, you must not register, access, or use the Platform.

2. Purpose of the Platform

This Platform is owned and operated by Rokoli LLC, a Florida limited liability company, and is designed to support Non-Emergency Medical Transportation (NEMT) operations, including but not limited to:

  • Trip scheduling and dispatching
  • Driver and contractor management
  • Uploading and storing compliance documents
  • Managing patient trip files
  • Secure communication between administrators, dispatchers, drivers, contractors, and partner companies

This Platform is not intended for emergency medical services.

3. User Roles

Authorized users may include, but are not limited to:

  • Admins
  • Managers
  • Dispatchers
  • Drivers
  • Independent Contractors
  • Transportation Companies and Partner Organizations

Access to data is strictly role-based and limited to what is necessary for job performance.

4. User Registration & Account Responsibility

By registering on the Platform, you agree that:

  • All information provided is accurate, complete, and truthful
  • You are responsible for safeguarding your login credentials
  • All activities under your account are your responsibility
  • You will immediately notify Rokoli LLC of any unauthorized access
5. Data Collected and Stored

The Platform may collect, store, and process sensitive information, including:

a) Patient Information (PHI)

  • Full name
  • Date of birth
  • Medical record numbers
  • Appointment and trip details
  • Medical and trip-related documentation

b) Driver & Contractor Information

  • Driver licenses
  • Certifications and permits
  • Insurance documentation
  • Compliance records

c) Company Information

  • Commercial insurance
  • Business licenses
  • Contracts and certificates

d) Location Data

The Platform collects device location data (GPS and network-based) for operational purposes.

This includes:

  • Precise location (GPS-based)
  • Approximate location (network-based)
  • Background location when the application is running in a foreground service for active trip tracking and operational requirements

Purpose of Location Data:

  • Real-time driver tracking during trips
  • Trip assignment and dispatch coordination
  • Navigation and route optimization
  • Monitoring active trips for operational and safety purposes
  • Ensuring timely pickup and drop-off of passengers

Location data may be transmitted and securely stored on Rokoli LLC servers and third-party services (such as Firebase) strictly for operational functionality.

6. Privacy & Confidentiality Obligations

6.1 Confidential Information

All information stored on the Platform is considered confidential, including but not limited to:

  • Protected Health Information (PHI)
  • Personally Identifiable Information (PII)
  • Medical, legal, and operational documents

Users shall not:

  • Access data outside their authorized role
  • Share, copy, disclose, or distribute confidential information
  • Use Platform data for personal or unauthorized purposes

6.2 HIPAA & Data Protection Compliance

Where applicable, the Platform is designed to align with HIPAA and applicable U.S. privacy laws.

Users agree to:

  • Handle PHI responsibly
  • Follow the minimum necessary access standard
  • Report any suspected data breach, loss, or misuse immediately
7. User Responsibilities
  • Use the Platform solely for lawful NEMT operations
  • Upload valid, accurate, and up-to-date documents
  • Maintain professionalism and confidentiality at all times
  • Respect patient dignity and privacy

Violation may result in suspension or termination of access.

8. Security Measures

Rokoli LLC implements reasonable safeguards, including:

  • Secure authentication
  • Role-based access controls
  • Data protection measures

However, no system is entirely risk-free.

9. Prohibited Activities
  • Circumvent security features
  • Upload false or fraudulent documentation
  • Share login credentials
  • Use the Platform for unlawful or unethical purposes
10. Account Suspension or Termination

Rokoli LLC reserves the right to suspend or terminate access without prior notice if these Terms are violated or required for legal or operational protection.

11. Limitation of Liability
  • Rokoli LLC is not liable for indirect or consequential damages
  • Platform availability is not guaranteed
  • Users remain responsible for compliance with applicable laws
12. Modifications to Terms

Rokoli LLC may update these Terms at any time. Continued use means acceptance of revised Terms.
